The December Executive Council meeting of The National Order of Omega was called to
order by Ed Whipple, President, on December 6, 1997, Hyatt Regency, San Francisco
Airport. 1. Corrections/approval of the Board Minutes of July 17-19, 1997: A motion was made by Kent Gardner and seconded by Howard Farrell to correct the Summer Board of Directors Meeting minutes to note that Dave Westol was absent from the meeting. Motion passed. A motion was made by David Grady and seconded by Carol Thompson to approve the minutes. Motion passed. 2. Scholarship Report: Michael Shonrock distributed to the Board the report on the 1997 National Scholarship Program. Michael reported that 112 applications were reviewed and considered by the Scholarship Committee composed of students, faculty and administrative staff at Texas Tech University including: Patrick Day - Assistant Dean of Students, Multicultural Services; Patricia Honacki - Assistant Dean of Students, Greek Life; Doug Palmquist - Graduate Assistant, Greek Life; Cheryl Shubert - Director, Activities Center; Tom Shubert - Director, University Center; and Katie Terrell - Graduate Assistant, Dean of Students Office. The scholarship committee recommended a minimum of fifty (50) $500 scholarships and fifty (50) $100 honorable mention scholarships be awarded from the Board of Directors to undergraduate members of The Order of Omega. The Scholarship Committee recommended the following fifty (50) Order of Omega members and fifty (50) honorable mentions in point total order and provided a list of twelve (12) alternate Order of Omega members in point total order. After discussion by the Executive Council, a motion was made by David Grady and seconded by Daisy Woods to award fifty (50) $500 scholarships and sixty-two (62) $100 honorable mention scholarships. Motion passed. Michael explained that letters will be sent to the national organizations of the recipients notifying them of the recognition. Ed Whipple stated that he would send a thank-you letter to the scholarship committee for their service to Order of Omega. Ed also recommended compensating the Office of Dean of Students support at Texas Tech University for the support they provided the scholarship program. 3. Omega Trends: David Grady reported that the Fall issue of Omega Trends has been mailed. He noted that the next issue will highlight the scholarship and fellowship recipients. Howard Farrell suggested including biographical sketches of the Board of Directors in the last issue of the year. David indicated that two province advisors will be highlighted in the late spring Omega Trends. 4. Order of Omega World Wide Web Page: David Grady reported that Kent Pawlak of The Universityof Texas at Arlington is now serving as the Webmaster for Order of Omega. Kent Pawlak noted that the web page has been updated, but still needs some additional improvements. He suggested adding pictures of the Board of Directors, reviewing the materials on the web page for consistent presentation and developing links to appropriate other web sites. 5. 30th Anniversary - Special Recognition: Kent Gardner reminded the Executive Council and Board of Directors members present to send him nominations of outstanding Order of Omega alumni who have made a difference. He reported that he currently had thirteen strong nominations, but more are needed to reach the target of thirty (30) recipients. 6. Laurel Wreath Award: Ed Whipple reported that the National Interfraternity Conference presented The National Order of Omega with its 1997 Laurel Wreath Award at the NIC/NPC Luncheon during the Annual Meeting of the Association of Fraternity Advisors and National Interfraternity Conference Annual Meeting. The inscription on the plaque reads: "...for exemplifying the highest ideals of interfraternalism through support of programs which foster interfraternal understanding, spirit and cooperation among fraternities." 7. Province Advisor Coordinator Report: Mardie Sorensen reported that all province advisor positions were filled. She noted that there are eight (8) new province advisors as of Fall 1997 and that each of them were doing a good job. Mardie also reported that the province reorganization has gone well and has increased the effectiveness of serving the chapters impacted by this change. She indicated that there were no concerns to present to the Executive Council at this time. 8. Chapter Reports Kent Gardner reported that Danny Kelly, the Order of Omega advisor at American University, asked for financial assistance to attend the 1997 Annual Meeting of the Association of Fraternity Advisors and the National Interfraternity Conference. Kent indicated that Danny had recently move to the American University from Old Dominion University, and that American University did not have any funds available for travel. The Executive Council discussed the possibility of providing funds for province advisors on a case by case basis for professional development opportunities. After discussion, a motion was made by Howard Farrell and seconded by Daisy Woods to provide Danny Kelly with $165 to cover the registration fee for attendance at the AFA/NIC Annual Meeting, December 4-7, 1997. Motion passed. Kent requested that this item, funding for professional development opportunities for province advisors, be added to the Summer Board of Directors Meeting agenda. In particular, he requested that the Board of Directors discuss whether funding this type of activity should be advertised or should be handled on a case by case basis without advertisement. 9. He reminded the Executive Council that the new dues structure went into effect Fall 1997 which will bring additional income to the operations budget. Kent noted that his letter to the chapters notifying them of the new dues structure went out late, and some chapters had already conducted fall selections and initiation and were not prepared for the dues increase. Consequently, he allowed these groups to pay the old initiation fee of $25.00. Kent also reported that there were no charters returned to Order of Omega because of the dues increase. 10. Student Board Member: Kent Gardner reported that Anne Trask Forcier would be coordinating the selection process for the new Student Board Member. This year the position will be selected from the Northeast Region. 11. Speakers Bureau: Kent Gardner distributed copies of The National Order of Omega Speakers Planning and Resource Guide. He reported that his guide will be distributed to the chapters in the spring and would highlight it as a new service directly related to the dues increase. Kent indicated that he was very pleased with the outcome of this project. 12. Regional Conferences: Kent Gardner reported to the Board that the Greek Regional Leadership Conferences for 1998 are scheduled. He asked for those Executive Council or Board of Directors attending any of these to notify him. Chapter Concerns: Kent Gardner reported that the Order of Omega chapter at California Polytechnic - San Luis Obispo was found in violation of the University hazing regulation. The chapter was suspended from the university indefinitely, but can apply for recognition in two years. The actions found in violation of University policy involved requiring new members to drink alcohol. Ed Whipple suggested reminding the chapters of the National Order of Omega policy on alcohol through an article in the Omega Trends and/or by a direct mailing to the chpaters this spring. 14. Strategic Plan: Carol Thompson handed out copies of the Order of Omega Strategic Plan to the Executive Council and members of the Board who were present. Ed Whipple asked everyone to carefully review the plan and identify items for possible updates. Ed noted that the Board should discuss technology, particularly expanding uses of the web page for communication with the chapters. In addition, he noted that the Board should consider expanding the province advisor professional development opportunities. Carol reported that she will send a copy of the strategic plan to the Board of Directors and request that any issues and/or updates be sent to Ed by March 1, 1998.
